The enquiry journey
What happens when a customer gets in touch
Seven stages, from the first message to a follow-up. Each one is designed around a simple rule: be genuinely helpful, and hand over whenever a person would do better.
-
Stage 1
Handles incoming enquiries
Status: In developmentKartha is being built to work on the channels your customers already use. Each channel will be switched on only once it is live and tested.
- Responds as soon as a message arrives
- Introduces itself as your business’s virtual assistant, never as a person
- Works through enquiries that arrive at the same time
Example Customer: Hi, are you open today?
Kartha: Hello! Yes, we’re open today until 8 pm. How can I help?
-
Stage 2
Answers frequently asked questions
Status: In developmentAnswers come only from business information you provide and approve, such as services, prices, timings, location and policies.
- You review the information before Kartha uses it
- Doesn’t guess. Unknown questions go to your team
- Update prices or timings at any time
Example Customer: Do you have parking?
Kartha: Yes, there’s free parking for customers in the basement.
-
Stage 3
Collects customer details
Status: In developmentWhen a customer wants to go ahead, Kartha asks for the few details your team needs to follow up, and nothing more.
- Name, phone number and what they need
- Asks for one thing at a time, politely
- No unnecessary personal information
Example Customer: I’d like to book a consultation.
Kartha: Happy to help. May I have your name and mobile number?
-
Stage 4
Captures and qualifies leads
Status: In developmentEach enquiry becomes a tidy lead with the service requested, urgency and any qualifying answers, so your team knows who to call first.
- Asks your qualifying questions (service, area, budget, timing)
- Labels urgency and lead quality
- Summarises the conversation for your team
Example Customer: Do you do bridal makeup? My wedding is in February.
Kartha: We do! I’ll have our bridal consultant call you with packages. What’s the date?
-
Stage 5
Helps with appointment and callback requests
Status: In developmentKartha records preferred dates and times, or a callback request, and sends it to your team to confirm. Direct calendar booking is planned.
- Captures preferred day and time
- Your team confirms the final slot
- Callback requests for customers who prefer to talk
Example Customer: Can I come on Saturday morning?
Kartha: I’ll request Saturday morning for you. The team will confirm the exact time.
-
Stage 6
Escalates to a human when it should
Status: In developmentSome conversations need a person. Kartha is designed to recognise them and hand over with the full context.
- Urgent requests, complaints and sensitive topics
- Questions outside your approved information
- Any time the customer asks for a person
Example Customer: I have severe tooth pain right now.
Kartha: I’m sorry. I can’t give medical advice, so I’m flagging this as urgent for the clinic team.
-
Stage 7
Automates follow-ups where integrations permit
Status: PlannedGentle reminders for enquiries that went quiet, and confirmations once your team has booked a slot. Sent only through integrations that support it and with the customer’s consent.
- Follow-up reminders for unanswered quotes
- Appointment confirmations and reminders
- Respects opt-outs and messaging rules
Example Customer: (No reply for two days)
Kartha: Hi Priya, just checking whether you’d still like that cleaning appointment?

Guardrails
How we’re designing Kartha
An AI receptionist speaks for your business. These principles guide every decision we make about what it says and does.
-
Approved answers only
Kartha answers from the information you provide and approve, and nothing else.
-
Honest when it doesn’t know
If a question isn’t covered, it says so and offers to have your team follow up, instead of guessing.
-
Clear that it’s an AI assistant
Kartha introduces itself as your business’s virtual assistant. It never pretends to be a person.
-
People for the moments that matter
Urgent, sensitive or unhappy conversations are passed to your team with the full context.
-
Only the data it needs
It asks for the minimum details needed to respond and follow up, and nothing more.
-
You stay in control
You decide what Kartha handles, what it says and when conversations go to your team.

We’ll walk you through how Kartha would handle your enquiries and be upfront about what’s available now and what’s still being built.
